Stabilising a critical case management system for a Children’s Services provider
Case study for Malachi family support organisation.
Helping a Birmingham based Children’s Services provider regain confidence in a bespoke platform handling sensitive safeguarding data.
A Birmingham based Children’s Services provider approached Integrate IT Solutions after experiencing serious issues with a bespoke case management system developed by another software company.
Despite significant financial investment, the platform was unstable, difficult to use and raised concerns around data security. The system was central to safeguarding and case management operations, but confidence in the original development partner had broken down.
Integrate was brought in to assess, stabilise and secure the platform, turning a high risk system into a more reliable foundation for day-to-day operations.
The Challenge
Malachi’s case management system was central to daily operations. It supported safeguarding and case management activity, which meant any instability could directly affect frontline service delivery.
The system was creating several operational risks, including:
Ongoing performance and stability issues
System bugs affecting day-to-day service delivery
Poor user experience for frontline staff
Security vulnerabilities around sensitive safeguarding data
Loss of trust in the original development partner
Limited technical documentation and support continuity
For Malachi, this was not just a technical issue. It was an operational risk. The organisation needed a trusted partner who could quickly understand the platform, identify the weaknesses and bring the system back under control.
The Solution
Integrate began with a full technical audit of the existing platform. This included reviewing the software architecture, database structure, hosting environment, user access controls and overall security position.
This gave Malachi a clear view of what was causing the immediate issues, as well as the underlying weaknesses that had made the system difficult to support.
Once the audit was complete, Integrate focused on stabilising the platform. Critical bugs were resolved, database performance was improved and infrastructure settings were optimised to help reduce crashes and improve reliability.
Just as importantly, Integrate introduced a more controlled approach to development and change management, helping move the platform away from reactive fixes and towards a more stable support model.
Improving security and reducing risk
Because the system handled sensitive children’s services data, security was a key part of the project.
Integrate strengthened authentication and access controls, closed identified vulnerabilities and improved the way data was protected. Better logging, monitoring, backup and recovery processes were also introduced to give the organisation greater confidence in the platform.
The aim was not simply to patch problems, but to reduce risk and make the system safer to operate.
The outcome
Following Integrate’s intervention, Malachi regained control of a system that had become unstable and difficult to trust.
The platform became more reliable, core workflows performed better and security concerns were addressed. Staff confidence improved because the system was no longer creating the same level of disruption or uncertainty.
Most importantly, Malachi had a dependable technology partner in place, with a clearer understanding of the platform and a more structured approach to ongoing support.
Summary
Integrate Solutions helped Malachi stabilise and secure a failing bespoke case management system.
Through a detailed technical audit, targeted system improvements and stronger security controls, Integrate reduced operational risk, improved reliability and restored confidence in a platform used to manage highly sensitive children’s services data.
